If your org still runs Workflow Rules or Process Builder, migrating them to Flow is usually the first project. Salesforce provides a Migrate to Flow tool, but complex processes still need to be redesigned and tested by hand.

- Sales: assign new leads by territory, industry or company size; create follow-up tasks when an opportunity goes quiet; generate quotes from opportunity data; alert a manager when a large deal changes stage.
- Service: route cases by priority or customer tier; send acknowledgements; escalate cases that aren’t resolved in time.
- Marketing: sync campaign responses to contacts; score and route leads; hand qualified leads to sales with context attached.
- Data quality: block duplicates, standardize country and phone formats, and flag records missing key fields.
How do you connect Salesforce to the rest of your stack?
Through Salesforce’s APIs, either directly or through middleware. MuleSoft is Salesforce’s own option; for smaller teams, a workflow tool such as n8n is often enough, and it can call AI models for steps like lead research or enrichment.

How much does Salesforce automation consulting cost?
It depends on scope more than on rates. Consultants usually work in one of three ways:
- Project-based: a fixed price for a defined outcome, such as migrating Workflow Rules to Flow or automating lead routing.
- Hourly: for small tasks and ad-hoc support. Rates vary widely with experience, certifications and location.
- Retainer: ongoing optimization and support without a full-time hire.
Ask for a written scope that lists every automation to be built, how it will be tested and who owns it afterwards. A quote without a discovery phase is a warning sign.
How do you choose a Salesforce automation consultant?
- Relevant experience. Ask for examples of similar processes in a similar industry, and speak to a reference.
- Certifications. Salesforce certifications (Administrator, Platform App Builder, and consultant tracks) show baseline knowledge, not judgement.
- Sandbox discipline. Everything should be built and tested in a sandbox and deployed with a rollback plan.
- Documentation. You should receive a list of every automation, what triggers it and who owns it.
- Plain language. If they can’t explain a flow to your sales manager, your sales manager won’t trust it.
Do you need Salesforce at all?
Not always. Salesforce suits companies with complex sales processes, several teams and the budget to maintain it. Smaller teams often get further with a simpler CRM that is set up well. Are Workflow Rules and Process Builder still supported?
Salesforce has retired both in favor of Flow. Existing rules should be migrated to Flow, which is a common first project for an automation consultant.
